Touring: move of the HQ to the Quatuor

What was the challenge?

Touring, a roadside assistance company, has been around for 125 years and had been operating from an outdated building on Wetstraat in Brussels. “The building no longer met the organization’s needs, with dark, narrow corridors, small offices, low ceilings, and hard-to-access floors hindering collaboration. Touring is undergoing a strong renewal and shedding its traditional image. The organization wants to present itself as a dynamic, customer-focused player that adds value to both private and business clients. Moving to a new building was an obvious decision for Touring. They chose the Quatuor building, with its bold design, extensive amenities, and highly sustainable character, perfectly aligning with the organization’s new set of values. The new workplace concept was designed to improve collaboration, optimize service, and enhance employee well-being. Touring wanted to be intensively supported through the move via a comprehensive participatory process. The relocation presented an ideal opportunity to transition to a new, activity-based working model.

Our approach

brainmove was asked to develop a workplace strategy and guide the change process within the organization. In close collaboration with the internal HR and communication team, we developed and implemented a tailored approach. We not only conducted an extensive needs and vision assessment but also supported employees throughout the transition. At the start of the process, we worked on creating buy-in with the management team by linking the characteristics of the new workplace to Touring’s values. We then involved all employees in an activity analysis, using both quantitative and qualitative methods developed by brainmove. To enhance service, we paid particular attention to optimizing proximity between departments in the new building. For example, the interaction between the call center and the back-office services was thoroughly examined. Based on this in-depth analysis, the interior architect was briefed. brainmove remained involved to support the project team. The transition to a new working model was implemented during the height of the COVID-19 pandemic. As a result, we developed a change process that could largely be carried out through online workshops and information sessions. We conducted workshops with leaders about the impact of remote collaboration on team functioning. Together with an ambassador group, we developed a charter to guide collaboration in the activity-based workplace. To prepare users for the new workplace concept, we organized a user training session in collaboration with HR, using the workplace game. Finally, we facilitated workshops with the technical team to define the concept and content for a revamped Touring experience center.

The result

brainmove helped Touring develop a new, dynamic workplace concept. The modern and future-oriented work environment aligns perfectly with Touring’s ambition to innovate. Through an extensive coaching and change support process, the teams were prepared for the transition and a strong buy-in was created for the new way of working and collaborating in the new building.
